About the Role
Full time Assistant to provide integral support to the Director/Producers. You will be required to manage all aspects of a busy workday schedule (diarising appointments / calls). You will need to be self motivated, meticulous and flexible, and able to handle a wide range of tasks. In a small but very busy team, a can-do solutions based attitude and willingness to test your skills is essential.
Past experience in production/personal assistant or administrative support roles are desired, but not essential - any candidate will have fantastic organisational skills & time management, and be able to work quickly and effectively across a variety of assignments - from basic to complex, and usually under time pressure. Excellent attention to detail and confident/efficient communication are vital.
The role will provide exposure to many aspects of film production and a keen interest in social and political issues would be highly beneficial but not required.
Responsibilities
Responsibilities are not limited to, but likely to include:
Diary Management: managing calendars, organising calls and meetings across multiple time zones.
Travel Management: organising and booking travel arrangements, liaising with a broad range of partners to ensure that logistics are being appropriately managed, preparing detailed schedules/itineraries.
Office Management: ensure smooth day-to-day running of the office.
Expenses and Invoicing: logging expenses and preparing invoices, liaising with bookkeeping and accountancy support.
Project Research: researching appropriate film contributors/projects, draft treatment preparation.
Ideal Candidate
Solid experience of diary management at Senior Management level in a complex and busy department, ideally in the film or television industry
Able to communicate confidently and to work collaboratively within a diverse team
Experience of handling confidential information appropriately
Excellent interpersonal and communication skills and accomplished at establishing and maintaining external relationships
Experience of working in a pressurised and challenging environment whilst maintaining accuracy and attention to detail
Ability to use initiative to plan ahead
Strong organisational skills and management of conflicting demands to meet deadlines
